HOW DO I USE BMDVERIFY?

BMDVerify is a proof-reading tool which will improve the accuracy of your transcriptions.

The Scan2 Syndicate strongly advises you to use BMDVerify to check your transcription before uploading to FreeBMD.

When you start BMDVerify you will see the following screen: Notice the four large buttons in the centre. These buttons are marked Step 1 to Step 4. Three of the buttons are greyed out. Click on the first button marked Step 1 - specify the scanned image file (the scan you have transcribed from).

When you have clicked on Step 1 you have to browse to where you've stored the scan. In the following example, I have created a folder on the Desktop called Scans (not very original I know) where I keep my latest allocation of scans. When you have found the scan, select it and click on Open.

After you have selected the scan image the BMDVerify window will open again, this time with the second button highlighted.

Click on this button Step 2 - specify your transcription file. You now have to browse to where your transcription file is stored. Unless you have changed the default, your file will be found in C:/Program Files/WinBMD/Output.

When you have opened the file, the BMDVerify window opens again. This time, click on the third button Step 3 - line up the scanned image and your transcription.

You will now see the Select type of scan window where you need to make a selection based on what type of scan you have transcribed. Some scans may be two column scans and some may have more or less columns. I am currently working with two column scans and this is what I've selected. Notice that you have the choice of checking a whole page scan or part of a page.

When you've clicked on Apply you will see the verification window. The window shown below shows an image of the scan that I've been transcribing, with the orange ribbon containing the details which I have typed into WinBMD. The first thing you have to do is make sure that the ribbon is directly beneath the rirst row of the scan. This can be done by dragging with the mouse or moving it with the arrow keys on the keyboard. Note that the columns do not line up. Don't worry about this as it will be corrected later.

Once you have the ribbon directly under the first row press Return. The ribbon will now jump down until it is under the tenth row. You may have to adjust the ribbon manually. Just make sure that it is directly beneath the tenth row as shown below. Doing this enables BMDVerify to calibrate the transcription with the scanned image.

When the ribbon is directly beneath row ten, press Return again. Now the ribbon will jump to the first row of the second column. Again, manually adjust the ribbon until it is directly beneath the row.

When the ribbon is in place, press Return, when the following window will appear.

Click on Step 4 - now ready to verify transcription. The scanned image and the orange ribbon will appear again. Notice I have now enlarged the scan to 175% using the zoom buttons at the bottom of the screen. I have also increased the font on the ribbon to make it larger. (pressing F will increase the font, Shift-F will make it smaller).

It may not be possible to get all of the columns to line up perfectly. Just increase or decrease the font until you get it as near as possible. To start the verification process check that the details on the ribbon match exactly the details on the scan. When you're satisfied the first row is correct, press Return to move the ribbon down to the next row.

As I went through the verification process in my own transcription, I came across an error. See if you can spot it before reading onů

Well done if you spotted it! The scan image clearly shows that Knaresbro' has an apostrophe, but the ribbon (my transcription) shows it without the apostrophe. This means that I have either typed it incorrectly, or selected it from the Picklist without checking that it was correct. This kind of error is very easy to make when transcribing. I will now have to correct the error before continuing the process.

Here's a handy tip for using BMDVerify which will make it easy for you to correct errors. When you have completed a transcription, leave WinBMD running when you start BMDVerify. When you come across an error, all you need to do is click on Alt-Tab which will bring WinBMD to the front. You then make the correction in WinBMD and save the change using File-Save or F3 on the keyboard. When you have corrected the error, click Alt-Tab again to bring BMDVerify to the front. Now all you have to do is press R and BMDVerify will re-load the corrected transcription. The ribbon now shows Knaresbro' with the apostrophe.

Now simply keep on pressing Return until you reach the bottom of the column. Once you've reached the bottom, click on the number 2 on the Top of Column button and the ribbon will go to the top of the next column. Continue the process of checking each row until you reach the end of the scan, correcting any errors that you find. When you have finished, close the BMDVerify window.
